1. Media notice and event coverage

The Foundation may photograph, record, livestream, or document selected public activities for reporting, education, outreach, historical, donor-accountability, and promotional purposes. Event coverage may vary based on the activity and its purpose. When practicable, the Foundation will provide event-specific notice so participants understand that recording or photography may take place. These purposes guide which activities the Foundation documents. In each case, the Foundation should consider the event setting and the people involved before it shares an image or recording.

2. Consent and releases

For focused interviews, testimonials, portraits, or stories about sensitive circumstances, the Foundation should use appropriate written consent or release procedures. Identifiable content involving minors also needs careful review. Parent or guardian authorization may be required before the Foundation uses that content. These steps help clarify how a person’s image, words, or story may appear in Foundation materials.

3. Incidental crowd images

Public events may include incidental images of attendees in crowds or backgrounds. If a participant wants to avoid focused photography, the participant should notify event staff. However, the Foundation cannot guarantee complete exclusion from every incidental image taken in a public event setting. Participants should raise concerns as early as possible so staff can understand the request.

4. Dignity, accuracy, and privacy

Foundation content should treat people with dignity, avoid exploitation, and represent activities accurately. It should also exclude confidential, medical, donor, beneficiary, or other sensitive information unless the Foundation has appropriate authorization and a clear reason to use it. Before sharing an image, the Foundation should consider whether the context could change its meaning or create a misleading impression. 5. Questions and requests about this media notice

Participants may send questions or reasonable requests about Foundation-controlled media to info@embajadoresinternational.org. The Foundation will evaluate removal requests based on whether it controls the material, legal obligations, archival needs, public interest, and practical limits. As a result, the Foundation may not be able to remove material that it does not control or that it must retain. A request should identify the material and explain the concern so the Foundation can review it.
